Responsibilities

Deliver high-level administrative support to senior leadership, including managing calendars, coordinating meetings, and ensuring critical deadlines are met
Arrange and oversee travel plans, conference participation, and external engagements with vendors, industry partners, and council-related events
Prepare, edit, and proof executive correspondence, presentations, and reports for internal and external stakeholders
Organize and provide logistical support for high-profile meetings and events, including agenda creation, material preparation, and minute-taking
Act as the primary point of contact for communications, prioritizing matters for senior leadership attention and ensuring timely follow-ups
Serve as a liaison between leadership, city officials, external partners, and vendors to foster strong relationships built on attention to detail
Track and monitor the progress of key projects, governance decisions, and executive commitments to ensure accountability
Maintain confidentiality and exercise sound judgment when handling sensitive information and interactions
Support departmental initiatives such as workforce development, skill-building training, and recognition programs
Execute special projects as assigned, including research, benchmarking, and preparation of background materials for decision-making

Required

Proven experience in executive-level administrative assistance and calendar management
Strong skills in organizing travel arrangements and coordinating events
Proficiency in preparing and editing detailed documents, including presentations and reports
Exceptional ability to manage conference calls and high-visibility meetings
Outstanding communication and interpersonal skills to act as a liaison between diverse stakeholders
Demonstrated ability to handle sensitive information with discretion and professionalism
Adept at prioritizing tasks and managing multiple responsibilities in a fast-paced environment

Preferred

Experience working with import-export documentation is a plus
