Property Management Assistant

Responsibilities
Tenant Relations: Serve as the primary point of contact for tenants, addressing inquiries, concerns, and maintenance requests in a timely and professional manner. Foster a positive and welcoming relationship with all residents
Administrative Support: Assist with the full scope of office administration. Support for the Property Manager includes but is not limited to (correspondence with tenants and vendors, typing reports, and maintaining organized tenant and vendor files)
Leasing and Applications: Help with the leasing process from beginning to end, including showing available units to prospective tenants, processing rental applications, and preparing lease agreements
Rent Collection and Accounting: Monitor the timely collection of rent payments and assist with accounts payable functions, including processing invoices for vendor payments
Maintenance Coordination: Schedule and track maintenance and repair work for properties. Coordinate with vendors and contractors to ensure work is completed to a high standard
Property Inspections: Assist with conducting move-in, move-out, and periodic property inspections, ensuring compliance with company standards. Occasional travel to Winslow, AZ, will be required for property management
Compliance: Maintain a current understanding of all fair housing laws, regulations, and building codes
Marketing: Aid in the creation and distribution of marketing materials to attract new tenants and reduce vacancy rates
Qualification
Required
High school diploma or GED required; an Associate's or Bachelor's degree in business, real estate, or a related field is preferred
2+ years of administrative experience, preferably within a real estate or property management environment
Excellent communication skills, both written and verbal, with the ability to interact effectively with a diverse group of tenants, vendors, and colleagues
Strong organizational and time-management skills with a keen eye for detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with property management software (e.g., AppFolio, Zoho) is a plus
Proven ability to handle multiple tasks, prioritize effectively, and adapt to changing priorities
Must be a self-motivated team player with a positive attitude and a strong work ethic
Must have a reliable vehicle for transportation
The occasional travel to Winslow, AZ, will be required
