Executive Assistant

Vornado Realty Trust is an equity Real Estate Investment Trust (REIT) with a significant portfolio in New York City. The Executive Assistant will provide comprehensive administrative and operational support to the Executive Vice President, ensuring efficient management of daily operations and coordination of leasing activities in a fast-paced environment.

Responsibilities

Provide high-level administrative support including complex calendar management, high call volume, travel coordination, and meeting scheduling
Prepare correspondence, presentations, and reports for internal and external audiences
Manage incoming communications; prioritize and respond on behalf of the EVP as appropriate
Coordinate leasing materials, proposals, and term sheets with internal and external stakeholders
Maintain departmental trackers, reports, and filing systems
Support team coordination between Leasing, Legal, Construction, and Property Management
Process expense reports, invoices, and departmental budgets
Organize and maintain electronic and physical filing systems
Assist with special projects, events, and marketing initiatives related to retail leasing
Represent the Retail Leasing department with professionalism in all interactions
Plan, coordinate and execute 1-3 events per year (30-200 attendees)
Cultivate and nurture existing business relationships internally and externally
Occasional travel

Required

5–8 years of experience supporting senior executives, ideally within commercial real estate, financial services, or corporate environments
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Strong written and verbal communication skills
Excellent attention to detail and organizational skills
Ability to maintain confidentiality and exercise sound judgment
Professional demeanor, with flexibility to handle shifting priorities
Proactive and resourceful approach to problem-solving
Strong interpersonal and relationship management skills
Ability to anticipate needs and operate with discretion
