Office Manager
Services for the UnderServed is an organization committed to supporting the wellbeing of others. The Office Manager oversees daily operations of the clinic, including scheduling, reception, and administrative support, while ensuring compliance and efficient service delivery.

Responsibilities
Supervision of all front desk staff and volunteer staff
Oversee schedule of all management and support staff
Ensure that all authorizations and billing sheets are completed
Track clients that use SCSC services and coordinate outreach efforts
Ensure Corporate Compliance standards are adhered to including ensuring that Privacy Act Notices and HIPPA notices are completed and properly uploaded into EHR system
Ensure all referrals and supporting documents are uploaded into HER system, and maintain program productivity
Able to work weekends and evenings as needed
Cover front desk during staff absences which may require flexibility in work schedule
Manage MetroCard’s: ordering, storage, distribution and reconciliation
Order all program and office supplies; manage SCSC petty cash and other routine expenditures
Provide maintenance Staff with instructions and guidance. Report repair needs to Central Maintenance
Report and track any Office Equipment repair needs
Troubleshoot consumer Entitlements problems as related to Medicaid Eligibility
Review monthly encounter data to determine readiness for review by Quality Assurance (QA) and for submission to SUS third party billing vendor
Facilitate communication between Billing Specialist in Finance Department and Providers to correct any coding issues in EHR identified in Issue Tracker and/or Denials
Provide reports to the Program Director, Ass’t Director, Sr. Social Worker/RN, and Regional Director, maintain, productivity, etc
Develop expertise in the Electronic Health Record (EHR) to provide training and support to new and existing staff
Responds to consumer needs promptly, accurately and with courtesy and respect
Represents the organization in a positive and appropriate manner to outside resources
Supports the mission and values of SUS and draws attention to behavior that undermines group effectiveness or is inconsistent with core values
