Responsibilities
Assisting the Events team in concepting creative onsite design elements and activations for high impact photographical moments at events
Researching, sourcing and managing venues and vendors
Event budget tracking
Coordinating shipping and logistics in partnership with our warehouse team and clients
Managing guest lists, RSVPs, VIPs and media check-in
Hospitality and booking travel such as flights, car service and hotels
Sourcing and arranging custom branded gifting for room drops and/or event gifting
Collecting data for recapping events
Administrative duties such as database organization, invoice processing, expense tracking, bill payments
Team database organization and management
Organizing and maintaining Team files and folders
Taking notes during client and team calls
Assisting with onsite event production, including load-in, set-up and break down
Travel up to 20% of the year; must be able to travel and have a passport
Qualification
Required
3+ years of experience in the professional event and/or brand marketing activation industry environment is a must
Strong organizational skills are a must
A problem-solving expert who can handle any event-day curveballs with a grin
A person who loves the details and is good at managing a project
Someone who is great at interacting with people with strong communication skills
Excellent communication skills and passionate about building and maintaining community connections and long-term relationships
Ability to multi-task and work proactively
Competent in database management and working in spreadsheets
Experience in managing budgets
Ability to work collaboratively with a variety of people and personalities
Comfortable working in an outdoor setting, including heat, rain, cold
Ability to work in a fast-paced environment managing multiple projects and timelines with shifting deadlines
Ability to do physical work including standing for 8+ hours, lifting boxes (up to 50lbs) and field set-up
Curiosity and willingness to learn
Preferred
Experience working in an agency environment is a plus, but not required
