Information Specialist

The Association of Universities for Research in Astronomy is seeking an Information Specialist to manage and organize technical and operational information at DKIST. The role involves overseeing document control systems, ensuring data governance, and facilitating the efficient sharing of information across teams.

Responsibilities

Support staff with management and organization of data in Confluence
Evaluate, audit, and strategically organize team documentation to ensure consistency and findability
Design and implement archiving strategies for historical and legacy documents
Guide and advise teams in structuring their documentation to meet organizational standards
Change management support: provide access to relevant as-builts, hazard analyses, performance analyses, etc
Proficiency with document management systems, such as Google Drive, Dropbox, SolidWorks, and any applicable systems
Oversee document control processes for engineering drawings, safety records, procedures, and configuration-controlled documents
Administer and continuously optimize and enhance information management platforms (e.g., electronic document management systems, collaboration tools, and archives)
Expected to take initiative in their professional development by seeking feedback, improving skills, and identifying areas for personal growth. This includes participating in training opportunities and development programs provided by the organization
Contribute to a collaborative, respectful, and productive workplace by maintaining open communication, supporting team efforts, and fostering a sense of belonging within the team
Work in accordance with applicable safety standards. Ensure safety of operations in areas under purview. Report any unsafe conditions and practices

Required

Bachelor's degree or completion of accredited military schools, in a STEM field, data management, information management, or other relevant area. Relevant experience may be considered in lieu of education
Proactive self-starter with demonstrated independent decision-making skills
Excellent attention to detail and strategic problem-solving abilities
Demonstrated ability to learn how to use new software tools
Computer proficiency, specifically with documents and database management systems
Ability to speak and write effectively, including preparation of how-to guides for staff members
Ability to thrive in a culturally diverse team environment
Willingness to actively participate in team safety meetings and adhere to (and advocate for) safety procedures and protocols
Sensitive to and respectful of cultural and environmental issues

Preferred

2+ years experience working to support knowledge or information management
Experience with the Atlassian products Jira and Confluence
Experience working in a technical observatory setting
Information management, Librarian, excellent organizational skills, strong communication skills, ability to work with diverse teams
