Grants Coordinator
Agog: The Immersive Media Institute is a groundbreaking nonprofit organization focused on using extended reality technologies for social impact. The Grants Coordinator will ensure the smooth operation of the grantmaking program by managing communications, maintaining organized systems, and supporting community engagement initiatives.

Responsibilities
Manage the grant inbox, triaging communications and ensuring timely responses
Maintain organized grant folders, documentation, and tracking systems
Update Salesforce, Asana, and other internal platforms to ensure accurate records and deadline reminders
Create and refine templates, trackers, and workflows that streamline grantmaking
Ensure data consistency, compliance, and documentation across all tools
Help source new pipeline opportunities through research and network outreach, especially with creators and organizations from underrepresented communities
Review nominations and proposals for alignment with Agog’s focus areas, surfacing insights and recommendations to the Program Manager
Support the nomination and application processes by scheduling, gathering information, and ensuring readiness of materials
Track proposal stages, deadlines, and follow-ups
Coordinate logistics for grant review meetings, ensuring agendas, documentation, and notes are prepared
Support grantee onboarding with resources, scheduling, and tracking requirements
Support Agog’s engagement with grantees via Discord and other platforms by answering questions, providing and soliciting updates, and maintaining a welcoming presence
Track touchpoints and surface insights to the Program Manager to inform program strategy
Help connect grantees with each other to share learning, collaboration, and inspiration
Surface and share relevant opportunities (other grants, festivals, labs, or capacity-building programs) with grantees
Bring an inclusive mindset to all interactions, ensuring equitable access and respect for diverse grantees and communities
Qualification
Required
Experience in grants management, operations, community engagement, or database management
Proven skills in organization, detail management, and systems thinking
Strong written communication skills
Comfort using tools like Salesforce, Asana, and Google Workspace (or the ability to learn quickly)
Experience or interest in community platforms (Discord, Slack, etc.)
Solutions-oriented and proactive mindset: someone who identifies inefficiencies and creates fixes
Passion for impact, social justice, and inclusive practices
