Responsibilities
Develop, refine, and maintain regular reporting on facilities performance, space utilization, ticket trends, and vendor activity using existing systems and tools
Translate operational data into clear executive summaries, presentations, and dashboards that highlight key trends, issues, and opportunities
Attend and support key meetings for the Premises team, capturing action items and decisions, and summarizing outcomes for leadership
Assist with daily maintenance of the facility and tracking/resolving facilities-related issues or requests through the ticketing system, in order to understand operational context behind the data
Support maintenance of floor plans and space reporting in CAFM software and assist with space planning activities
Coordinate and schedule employee workstation moves with IT Helpdesk; support project tracking and communication around these changes
Assist in the coordination and supervision of vendor work with the building, including day porter services and other contracted activities
Contribute to facilities projects including build-outs, reconfigurations, and other internal initiatives by preparing updates, tracking status, and creating supporting documentation
Develop clear, concise communications around facilities initiatives, changes, and projects (emails, intranet posts, FAQs, talking points) for employees and leadership
Create executive-level presentations and briefing materials that summarize facilities performance, key initiatives, and upcoming changes
Partner with the Premises team to understand daily operations, challenges, and upcoming work, and translate these into stakeholder-friendly messages
Partner with Real Estate & Facilities leadership to translate complex facilities, workplace, and operational topics into clear executive summaries, presentations, and talking points
Attend key meetings, capture themes, decisions, risks, and actions, and distill them into concise follow-ups and communication materials
Develop data-driven narratives and business cases (cost, space, service levels, and risk/benefit) to support new initiatives, investments, and process changes
Build and maintain simple reporting and dashboards using existing tools (Excel, CAFM/IWMS, ticketing systems) to track trends, performance, and outcomes
Administrative functions as defined – approx. 15-20% of time
Qualification
Required
1–3 years of professional experience (internship or entry-level analyst/operations role preferred)
Advanced Excel and PowerPoint / Google Slides skills
Strong attention to detail, accuracy, and follow-through
Excellent written and verbal communication skills
Ability to manage multiple priorities with tight deadlines
Strong analytical thinking and problem-solving ability
Preferred
Experience with expense reporting or financial systems (Concur, Workday, SAP, Oracle)
Familiarity with facilities, workplace, or corporate real-estate operations
Understanding of project coordination and basic process mapping
