Tangibles Coordinator
NEOGOV is part of the Office of the Indiana Attorney General, dedicated to serving the interests of the State and its citizens. The Tangibles Coordinator is responsible for managing physical property reported to the UPD office, maintaining security protocols, and educating holders on reporting requirements.

Responsibilities
Responsible for the following duties related to the physical property reported to the UPD office: Inventory, Appraisal of items, eBay Auctions, assisting claimants with tangible related claims, educating holders about reporting tangibles and resolving any content discrepancies with the holder
Inventory items received in abandoned safe deposit boxes, record item description into UPD database, ensure all items reported from banks are received and accounted for, record any discrepancies and reach out to Holder if needed
Maintain security protocols of the safe keeping room at all times
Coordinate appraisals/authentication for items when necessary
Take detailed photos and prepare accurate detailed descriptions of each item for eBay auctions
Educate Holders about reporting procedures and requirements
Provide guidance and support to Holders throughout the Unclaimed Property reporting and remittance process
Handle required tasks necessary to complete the daily deposit of unclaimed property financial payments including
Preparing 1st tape
Scanning checks
Entering Holder information that is linked to payment and finalizing the deposit
Saving the Deposit Detail Report, Deposit Image Report, and Deposit Receipts
Uploading receipts into KAPS database system
Distributing deposit documents
Following up with Holders with any discrepancies
Ensuring all required daily deposit documentation is available for the UPD Financial Administrator to complete the Report of Collection (ROC)
Accurately allocate receipts for Unclaimed Property payments received
Process and reconcile Unclaimed Property reports in the database system
Contact and educate the business community to resolve discrepancies with reports and payments
Respond to constituent/holder emails from the UPD Holder inbox
Process Holder dissolutions and bankruptcies
Review, scan and save the daily INBiz report
Perform other duties as assigned or required which are reasonably related to the duties enumerated above
Qualification
Required
2-year college education preferred or equivalent job-related experience
Previous customer service experience
High degree of internal motivation. Must be able to work independently and efficiently with attention to detail
A high level of critical thinking to make decisions and solve problems
A keen eye for detail and a commitment to ensuring the accuracy and completeness of reports and data
Ability to convey unclaimed property related terminology and information in layman's terms
Ability to be self-sufficient and possess analytical thinking skills
Meeting deadlines while collaborating effectively within a team environment
Excellent verbal and written communication skills by effectively communicating complex information
Quickly pivot attention when new priorities develop
Knowledge of Indiana Unclaimed Property statute and reporting requirements
Fluency in MS Office Suite, particularly Excel, Word, and Outlook, is essential
Project coordination abilities including the ability to meet deadlines and prioritize tasks
Computer proficiency including MS Excel, Word and data entry
Preferred
Previous experience in marketing or eBay sales preferred
