Recruitment Assistant

The City of Naperville is looking for a highly organized administrative professional to provide support for the Human Resource's Recruitment team. This role involves scheduling interviews, maintaining recruitment files, assisting with onboarding processes, and providing exceptional service to applicants and staff in a fast-paced environment.

Responsibilities

Provide day-to-day administrative support in all areas of recruiting and onboarding while maintaining confidentiality and attention to detail
Schedule and coordinate interviews, including communicating with applicants and hiring managers and preparing interview materials
Maintain and organize recruitment files, applicant records, and related documentation in compliance with state and federal regulations
Assist with onboarding processes by preparing new hire paperwork, coordinating background checks, conducting reference checks, post-offer screenings, and ensuring compliance with employment requirements
Organize and occasionally present information during new employee orientations
Respond to applicant and employee inquiries by phone and email
Update and maintain job postings within the Applicant Tracking System (ATS) and assist with posting advertisements to various job boards and platforms
Manage employee IDs and badge access through the badging system
Provide backup coverage for HR reception as needed
Support special projects and HR initiatives
All other duties as assigned

Required

Minimum of three years' administrative experience in a professional office setting
Associate's degree in business, Human Resources, or a related field
Equivalent combinations of education and experience may be substituted
Strong organizational skills and the ability to manage multiple priorities
Excellent verbal and written communication skills
Proficiency in Microsoft Office, specifically Word and Outlook
Valid State of Illinois driver's license

Preferred

Experience using an Applicant Tracking System (ATS), such as NeoGov
