Publications Manager

The Cardiovascular Research Foundation is dedicated to improving outcomes for patients with heart disease. The Publications Manager will facilitate the publications process for scientific projects, ensuring compliance with publication ethics and supporting stakeholder engagement in research.

Responsibilities

Coordinate daily operations of client-sponsored and/or internal academic Publications Offices, collaborating with internal and external physician authors and biostatisticians to develop scientific publications and abstract presentations for national and international cardiovascular conferences; track publications from proposal through publication and ensure that all publications activities are conducted in compliance with the relevant guidelines governing publication ethics and clinical trial reporting and adhere to established timelines
Provide substantive editorial support for scientific publications, as well as proofreading, journal-specific formatting, and assistance in drafting cover letters; serve as primary point of contact for journal editorial staff and co-authors
Manage Publications Steering Committee meetings (internal and/or client-sponsored): organizing and leading regular committee conference calls, finalizing agendas, developing meeting materials, finalizing and recording meeting minutes, and facilitating the development and execution of annual publication plans
Provide regular reports of publications program status to internal and external stakeholders
Manage project budgets for assigned Sponsored Publications Office contracts, ensuring timely and accurate invoicing of contracted deliverables and pass-through expenses
Develop and/or enhance internal systems that enable CRF staff access to publication/editorial assistance
Maintain libraries of references, slides, and published manuscripts, and database of author contacts and disclosures
Assist the Clinical Trials Center in tasks related to literature reviews, medical writing, protocol development and data presentations
Support the editorial operations of Structural Heart: The Journal of the Heart Team in the role of Editorial Assistant. Essential duties and responsibilities of the Editorial Assistant role include management of invited review articles and editorial comments, attendance at weekly Editorial Board meetings, and reviewing proofs of accepted articles prior to publication. Other editorial responsibilities may be assigned at the discretion of the journal’s Editor-in-Chief or Executive Editor
Support other research, scientific, and academic initiatives within the Cardiovascular Research Foundation

Required

Bachelor's degree in a scientific field with 3+ years of experience working in either an academic setting, or within a publications or medical writing group at pharmaceutical or medical device organization
Experience with MS Excel, MS Word and MS PowerPoint required
Excellent verbal and written communication skills
Strong writing and editing skills
Experience managing projects
Strong focus on flexibility, ability to multi-task, attention to detail, excellent organizational and time-management skills, good follow-up and judgment
Ability to effectively communicate verbally with CRF employees and outside vendors as required
Ability to communicate effectively when reading and writing e-mail, memos and presentations on behalf of the director
Must be organized, creative, efficient and able to work both independently and as part of a team

Preferred

Master's degree
Awareness of compliance issues and guidelines for medical publications practice (ICMJE, COPE, GPP2022, etc.)
CMPP
Familiarity with statistical methods and software (e.g. SAS, R)
