Order Entry Specialist

Quest Aviation, Inc. is seeking an Order Entry Specialist to ensure the accurate and efficient processing of aviation-related service requests. This role involves acting as a central liaison between clients and internal teams, ensuring all service requests are captured and actioned promptly.

Responsibilities

Receive and accurately enter all orders into internal systems, including charter requests, maintenance scheduling, parts orders, and operational services
Verify order details such as client information, flight requirements, service specifications, and authorization documentation before submission
Generate and distribute confirmations and status updates to clients and relevant team members
Monitor the status of open orders, follow up on any delays or discrepancies, and report progress to supervisors as needed
Collaborate proactively with internal departments—including flight operations, maintenance, dispatch, and finance—to resolve issues and ensure seamless service delivery
Produce daily or weekly reports on order volumes, lead times, pending actions, and exception handling for management review
Identify inefficiencies within order-processing workflows and propose enhancements aimed at improving accuracy and turnaround time
Maintain organized digital and physical records of all orders, ensuring transparency, traceability, and audit-readiness

Required

High school diploma required
Prior experience in order entry, operations coordination, or administrative support; aviation or logistics experience is a strong advantage
Exceptional accuracy and attention to detail, especially in data entry and record-keeping
Proficient with standard office productivity tools—including spreadsheets and email
Excellent written and verbal communication, paired with strong organizational and multitasking abilities
A collaborative mindset and ability to work under pressure while maintaining a high degree of professionalism

Preferred

Associate/bachelor's degree in Business Administration, Aviation Management, or a related field
Familiarity with order-management and aviation systems
