Responsibilities

Be in office Monday through Friday from 8:30 to 5:00 p.m. with start and end times varying when there are special meetings or events
Answer and direct calls to appropriate executives and parties, taking messages when necessary
Greet visitors and handle all incoming mail and packages, ensuring they end up with the appropriate parties
Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments
Manage all administrative functions for executives including expense reports, printing, scanning, etc. as needed
Maintain office and kitchen inventory and supplies and place orders when necessary
Anticipate office needs and repairs in conjunction with building management
Assign staff seating, ensure office fobs and parking passes are obtained for in-office staff, and assist with training on office equipment and in-office policies and procedures
Provide clerical and general office support to employees within the business unit
Coordinate in office meetings ensuring conference room space is secured, technology is working properly, and any necessary food arrangements are made when applicable
Support other executive assistants with meetings and events when they are being held in the West Palm Office

Required

3 – 5 years of administrative support to C-Suite level executives
Advanced proficiency with MS Office products such as Outlook, Word, and PowerPoint
Strong problem solving skills and ability to adapt to executives working style to anticipate needs
Ability to multi-task and carry projects and tasks through completion
Very customer service oriented with demonstrated experience collaborating with all levels of an organizations and various personalities
Excellent interpersonal and communication skills
Ability to work at a fast pace with a strong sense of urgency and willingness to step in to help others
