Responsibilities

Provide executive-level support to assigned Associate/Assistant Vice Presidents, managing complex calendars, correspondence, and project logistics
Serve as the first point of contact for inquiries, troubleshooting front desk issues, and ensuring effective information flow within the Vice President’s Office
Handle initial intake of student, parent, and public concerns, research and evaluate information, and determine appropriate follow-up or referral
Coordinate meetings, prepare materials and minutes, and support the planning and execution of large-scale events and divisional retreats
Arrange complex travel schedules and process related documentation, including reimbursements, purchase requisitions, and credit card reconciliations
Hire, train, and lead student assistants, ensuring efficient workflow and a welcoming, professional office environment
Work closely with the Executive Management Team and university partners to support projects, policies, and events with broad campus impact

Required

Fully functional knowledge of and skill in standard office procedures and practices
Ability to understand and operate in a variety of organizational structures
Thorough knowledge of English grammar, spelling, and punctuation
Ability to clearly communicate orally and in writing
Ability to use and quickly learn new office support technology systems and software packages
Proficiency with standard office software (e.g., Google Workspace, Excel, Word, PowerPoint)
Experience providing administrative support, including managing calendars, coordinating travel, and handling front desk or reception duties
Experience supporting or working in an executive or high-level office environment
Experience training or providing guidance to student assistants or other staff
Valid California Driver's License or the ability to obtain one within 10 days of hire

Preferred

Experience with budgeting, payables, or financial tracking
Experience using database or reporting systems (e.g., Oracle, PeopleSoft)
Bilingual in Spanish and English
