Office Administrator/Administrative Support
Evolution Research Group (ERG) is dedicated to delivering high-quality Phase I–IV clinical trial execution to help sponsors bring lifesaving and life-enhancing therapies to market quickly and safely. The Office Administrator plays a vital role in managing office operations and ensuring the smooth day-to-day functioning of the workplace, including overseeing office administration, front desk operations, and providing administrative support to executives and staff members.

Responsibilities
Overseeing the general office environment, maintaining supplies, organizing office layouts, and ensuring a clean and efficient workspace
Managing office equipment and coordinating repairs or replacements
Serving as the primary point of contact at the front desk, greeting visitors, handling inquiries, and directing calls
Managing the reception area to ensure a welcoming environment for clients, guests, and employees
Assisting executives and other staff members with tasks like scheduling meetings, managing calendars, and handling correspondence
Preparing reports, presentations, and performing data entry tasks
Overseeing incoming and outgoing deliveries, ensuring timely receipt and dispatch of shipments
Coordinating with vendors, couriers, and internal departments to manage logistics and track shipments
Managing the staff communication system, ensuring effective and reliable communication channels within the office
Troubleshooting communication issues and coordinating with IT support as needed
Organizing and coordinating company events, meetings, and other functions
Qualification
Required
Bilingual Spanish preferred but not required
Organizational Skills: Ability to multitask, prioritize, and manage time effectively
Communication Skills: Strong verbal and written communication skills for interacting with staff, clients, and vendors
Technical Proficiency: Familiarity with office software such as Microsoft Office Suite (Word, Excel, Outlook) and office equipment
Attention to Detail: Ensuring accuracy in tasks such as data entry and scheduling
Problem-Solving: Ability to anticipate and resolve issues quickly and efficiently
Teamwork: Working collaboratively with colleagues across various departments
A high school diploma/GED required
Preferred
Certifications in office administration or business management can be beneficial
