Workplace Operations Manager

The Workplace Operations Manager will oversee daily office operations, manage facilities, and ensure a seamless employee experience that reflects the company's culture and commitment to excellence.

Responsibilities
Manage the day-to-day office operations, organization, and service offerings
Maintain office and kitchen supplies, including asset inventory
Serve as the main point of contact for all workplace-related issues and address employee concerns promptly
Facilitate office orientations/inductions, issue equipment, and arrange equipment collection and access deactivation for employee onboarding and offboarding
Manage and record incoming and outgoing mail
Monitor and manage the office operational budget, ensuring cost-effective solutions for all office needs
Manage vendors and build strong working relationships with them and building management
Oversee workplace cleanliness and maintenance
Manage and maintain security and access control systems
Handle meeting room management, bookings, set-up, and support
Organize lunches, catering, and internal events
Assist in securing external event venues, catering, and decorations (as needed)
Assist in booking team bonding activities and dinners
Lead logistics for Executive and Board meetings, and liaise closely with the Marketing Team for event support
Ensure the workplace is compliant with all safety standards
Establish health protocols, promote wellness, and support workplace safety initiatives
Provide assistance in sustainability initiatives and CG Gives charitable activities, including research and event execution
Perform other general administrative and duties as required
Qualification
Required
10+ years of proven experience in office management, facilities, and events, including managing Executive-level meetings and arrangements
Bachelor's degree in a relevant field
Exceptional ability to manage multiple priorities, deliver work quickly, and to a high standard
Adaptability and the ability to think quickly to reach a solution when unexpected issues arise
Excellent communication skills and a collaborative mindset, with experience working with people from different cultures and seniority levels
Knowledge of health, safety, and security protocols within the workplace
Proven ability to negotiate with vendors and manage budgets effectively
Proactiveness: Able to anticipate potential disruptions and implement preventive measures
Problem-Solving & Adaptability: Quickly resolving issues and adapting to changing workplace needs
Resilience: Maintain a positive attitude, especially during tough times
Communication & Stakeholder Management: Skilled at liaising between employees, the Leadership Team, and vendors
Customer Service Orientation: Dedicated to enhancing the workplace to provide a superior employee experience
Analytical Thinking: Ability to assess complex situations, optimize processes, and control costs
