Secretary (Secure Female Facility Administrative Secretary)

Responsibilities
Serves as a member of the Secure Female Facility Staff and is responsible for all clerical and administrative support duties necessary
In addition to providing administrative and clerical functions to the Secure Female Facility Unit Manager/Administrator, on occasion, will provide limited secretarial services for the Warden, Associate Wardens and/or the Executive Assistant
Receives and refers telephone calls. Personally handles many requests for information and resolves or assists in resolving a variety of concerns from staff and, if appropriate, inmates
Receives visitors to the office, determines the nature of the visit and directs them to the appropriate staff or personally provides the information needed, when routine or procedural matters of the office are involved. Takes requests for appointments with supervisor and staff
Along with all other correctional institution employees, the incumbent is charged with responsibility for maintaining security of the institution. The staff’s correctional responsibilities precede all others required by this position and are performed on a regular and recurring basis

U.S. Citizenship is Required
Education: GL-06 and GL-07: As a general rule, education is not creditable above GL-05 for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position
Experience: GL-06 and GL-07: You must have at least one year of specialized experience equivalent in difficulty and complexity to the next lower grade level
Experience receiving telephone calls and visitors, handling requests for information, processing incoming and outgoing materials such as correspondence, reports and memoranda
Experience editing and composing letters and reports, transcribing notes, and reviewing correspondence
Experience performing office automation duties using a personal computer, preparing a calendar, worksheets, typing a variety of documents such as letters, forms, schedules, meeting minutes, and maintaining computer files
Experience scheduling and maintaining appointments, coordinating meetings and conferences, making travel arrangements, and performing time and attendance functions
Experience reviewing incoming correspondence and reports and routing to the appropriate staff member or supervisor for action
Experience reviewing outgoing correspondence and reports for content, grammatical accuracy and conformance to established standards
Experience screening and referring telephone calls and visitors to staff members or supervisors, scheduling appointments and making commitments for supervisor, making travel and conference arrangements
Experience responding to fluctuating workloads and advising individuals on clerical and administrative procedures
Experience handling requests for information and resolving problems, meeting and dealing with all levels of government, private sector and/or the public
Ability to communicate orally
Ability to compose non-technical correspondence
Ability to organize the workflow of clerical and administrative support functions
Ability to work with data on a computer
