Responsibilities
Provide general administrative support for executives, including schedule management and expense processing
Organize and maintain confidential files and documents
Plan and coordinate meetings, conferences, and company events, including logistics, note-taking, shipping, catering, and guest management
Arrange domestic and international business trips for execs and team members
Manage competing priorities to ensure the Executive leadership's time is allocated efficiently, focusing on high-impact activities
Work with our Workplace Experience team to support general office operations
Manage maintenance of various company-owned and rental vehicles
Qualification
Required
3+ years of experience as an executive assistant
Bilingual in Japanese and English, including spoken and written
Exceptional hospitality and strong communication skills
Strong organizational and time management skills
Able to work in a multicultural environment, across geographies
Proficiency in Microsoft Office, Google Workspace, and calendar management tools
Proven ability to learn various online services quickly as a user
Preferred
Comfortable with driving various vehicles, including EVs
Flexible time shift, such as 11am to 8pm
