Affiliate Operations Specialist (Human Resources)

Physician Affiliate Group of New York, P.C. (PAGNY) is a multispecialty medical practice group that provides administrative and human resources services to support its clinical providers. The Affiliate Operations Specialist is responsible for managing employee concerns, onboarding new hires, ensuring compliance with training and health assessments, and maintaining accurate employee records. This role acts as a key point of contact within the HR Department and collaborates with various stakeholders to support the organization’s mission of providing high-quality healthcare services.

Responsibilities

Manages compliance with mandatory and non-mandatory trainings, continuing education, annual health assessments, and work evaluations, assuring employee records are current and meet The Joint Commission on Accreditation of Healthcare Organizations (JCAHO) and New York Department of Health (NYDOH) standards
Acting as the primary point of contact for all credentialing and onboarding, the Affiliate Operations Specialist will manage multiple new providers' progress throughout this process
Tracks all new hires, ensuring onboarding is smooth and thoroughly reviewed, and that all post hire data and documents are in HRIS, employee files, credentialing and onboarding trackers
Maintains relationships with providers and staff by checking in periodically to keep them informed and engaged
Leads and facilitates recurring new hire orientation and other activities and also provides hands on guidance for timesheet processing, benefits, continuing medical education (CME), payroll and holiday calendars
Manages all HRIS transactions in a timely fashion and makes change requests ensuring accuracy
Follows up with the appropriate personnel and communicates with corporate and H+H approvers for escalated issues
Builds and maintains successful relationships with site leadership, Medical Staff Office (MSO), Occupational Health Services (OHS), H+H Human Resources Partners, Chiefs/Chairs, and other stakeholders
Attends site committee meetings when necessary
Handles routine labor relations and human resource inquiries related to policies, procedures, and bargaining agreements; refers complex matters to appropriate Labor and Employee Relations team member

Required

Experience in human resources or related field
Strong communication skills
Ability to manage multiple tasks and prioritize effectively
Proficiency in HRIS and other relevant systems
Knowledge of compliance with healthcare regulations and standards
Experience with onboarding processes and employee record management
Ability to build and maintain relationships with staff and stakeholders
Experience in managing training and continuing education programs
Ability to handle labor relations and HR inquiries

Preferred

Experience in a healthcare setting
Familiarity with The Joint Commission on Accreditation of Healthcare Organizations (JCAHO) standards
Experience with credentialing processes
Knowledge of payroll and benefits administration
