The Project Estimating & Purchasing Coordinator will support the Director of Construction by managing estimates, coordinating vendor purchasing, and handling project administration to ensure projects are on time and on budget.

Responsibilities

Prepare formal bid packages (drawings, scopes, instructions) for vendors and trades

Gather, compare, and analyze trade bids and vendor proposals

Develop preliminary and final estimates under Director of Construction oversight

Perform value engineering with vendors/trades to identify cost savings while maintaining quality

Continuously update estimates as design changes occur

Maintain and update the company cost database quarterly to reflect market conditions

Provide detailed variance reports comparing estimates to actual costs

Issue purchase orders and work orders in Buildertrend

Track approvals, invoices, and change orders

Manage vendor relationships and assist with contract administration

Support change order pricing and provide accurate, timely updates to clients

Coordinate project utilities setup (gas, electricity, water, internet)

Prepare jobsite packages (plans, specs, selections, and POs)

Maintain Buildertrend files and project updates

Support communication between vendors, trades, and internal team members
