Recruitment Manager

Responsibilities
Develop, implement, and monitor comprehensive recruitment strategies for all active and upcoming clinical trials
Oversee site-level recruitment operations to ensure goals align with study timelines, sponsor expectations, and company enrollment targets
Collaborate with Site Leads, Clinical Operations, and Business Development to forecast recruitment feasibility for new studies
Ensure all recruitment plans comply with sponsor requirements, IRB guidelines, and institutional policies
Supervise, mentor, and support recruitment coordinators and patient engagement staff across all sites
Review performance metrics, lead conversion rates, and recruitment campaign ROI on a weekly and monthly basis
Ensure optimal use of CTMS platforms and digital recruitment tools to track leads and manage performance
Partner with the Marketing team to ensure all recruitment materials and advertisements are compliant, accurate, and consistent with brand standards
Generate and present recruitment performance reports to senior leadership, highlighting trends, risks, and opportunities for improvement
Maintain a centralized recruitment dashboard to monitor metrics across all locations
Assist in developing KPIs and performance benchmarks for recruitment staff
Ensure recruitment activities adhere to GCP, HIPAA, IRB approvals, and sponsor-specific guidelines
Oversee the documentation, approval, and version control process for all recruitment materials
Conduct routine audits of recruitment workflows and training programs to ensure regulatory and institutional compliance
Create and deliver training sessions on recruitment best practices, communication protocols, and compliance standards
Foster a culture of accountability, quality, continuous improvement, and positive patient engagement
Qualification
Required
Bachelor's degree in Life Sciences, Healthcare Administration, Marketing, or related field (Master's preferred)
3–5 years of experience in clinical research recruitment, preferably within a site network or CRO
Demonstrated success managing multi-site recruitment operations and achieving enrollment goals
Strong understanding of FDA, ICH-GCP, and HIPAA regulations related to participant recruitment and data privacy
Proficiency in CTMS systems (e.g., RealTime, Veeva, Clinical Conductor) and digital recruitment tools (e.g., StudyKIK, Trialbee)
Excellent leadership, analytical, organizational, and communication skills
Ability to manage multiple priorities in a fast-paced and evolving environment
