EAOP/Access Program & Operations Coordinator
The University of California, Santa Cruz is a public university known for its innovative and experimental approach to education. Responsibilities
Coordinates purchasing, reimbursements, invoices, and travel requests in compliance with UCSC and EPC policies
Tracking financial transactions, reconciling expenditures, and preparing summary analyses and reports to ensure transparency and accuracy
Serving as a resource to EAOP/Access staff regarding accounting, purchasing, travel, and operational procedures; resolving issues, developing reference materials, and providing training as needed
Coordinating logistics for EAOP/Access events such as Senior Odyssey, the Youth Leadership Council Retreat, Transition to High School programs, A–G Partnership Summits, family/alumni events, staff trainings, and Advisory Council meetings
Preparing run-of-show documents, managing venues, transportation, catering, and supplies, and providing day-of event coordination and support
Providing administrative support to the Program Director and staff, including scheduling, correspondence, meeting logistics, and documentation
Maintaining accurate records, communication systems, and internal processes that ensure effective collaboration and compliance across all EAOP/Access operations
Supporting EPC-wide administrative initiatives and serving as a liaison to campus departments to ensure consistent implementation of policies and efficient program delivery
Ensure transportation, meals, facilities, and supplies are secured and ready
Supporting the organization of Family Workshops, including materials, logistics, and coordination with site staff
Supporting the pilot development and implementation of a Family Ambassador Program that builds parent and guardian knowledge about college readiness, financial aid, and academic pathways
Cultivating and maintaining alumni, employer, and community partnerships to enhance student field trips, guest presentations, and enrichment opportunities
Providing project coordination and logistical support for major community and partner events such as A-G Summits, family engagement nights, and EPC-wide convenings
Assisting with evaluation and trend analysis of family engagement efforts to strengthen programming and inform strategic planning
Collaborating with EPC leadership and district partners to ensure family engagement efforts are culturally responsive, data-informed, and aligned with program and campus goals
Occasionally travel to UCSC, Pajaro Valley USD, Monterey Peninsula USD, Gonzales USD, Soledad USD, and NMCUSD sites (regional travel across the Monterey Bay)
Develop and distribute the Quarterly Program Newsletter, gathering photos, student interviews, site highlights, and data stories that showcase program impact
Develop and distribute a Quarterly Family Resource Bulletin featuring bilingual resources related to college access, legal rights, wellness, community events, and EAOP opportunities
Curate stories, photos, and testimonials from students, families, and partners to highlight outcomes and humanize program data for reports, funders, and stakeholders
Maintain and update program content across communication platforms (web, social media, newsletters, and print materials) in alignment with UCSC and EPC branding and accessibility standards
Maintain an archive of communication materials, photos, and media releases for use in reports, presentations, and grant narratives
Qualification
Required
Bachelor's degree in related area and / or equivalent experience / training
Experience with administrative operational activities such as event planning, purchasing, accounting and payroll, and contracts
Demonstrated experience in managing projects with efficiency and thoroughness. Identifying objectives, prioritizing assignments, and meeting deadlines with minimal or no direction with a high standard of accuracy and attention to detail
Solid interpersonal skills and experience coordinating complex logistics across multiple stakeholders
Solid verbal communication skills to communicate effectively with all levels of staff, faculty, alumni/donors, students and external constituencies
Excellent written communication, with ability to produce clear and engaging newsletters, bulletins, and reports. Experience developing outreach materials
Data, information and computer literacy with demonstrated knowledge and experience using standard computing tools including Microsoft Office, Google applications, graphics software, mass communication tools, online databases, email, web-based research tools and applications and demonstrated ability to quickly learn new emerging applications
Experience building partnerships with schools, community organizations, and local agencies
Demonstrated organization skills and experience multi-tasking with demanding time frames in a high-interruption environment
Strong attention to detail in maintaining accurate documentation, participant data, and follow-up communications
Preferred
Experience working in an institution of higher education
Bilingual Spanish strongly preferred
Familiarity with the organization's processes, protocols and procedures
Knowledge of University rules and regulations, processes, computer-programs and other organization-specific tools
Strong public speaking and facilitation skills with comfort leading workshops for diverse family audiences (including multilingual communities)
Deep understanding of first-generation, immigrant, and mixed-status family experiences within educational systems
