Associate Director, Quality Assurance

Responsibilities

Coordinate and manage specific quality and safety improvement projects from start to finish, including planning, execution, and delivery of project outcomes and supporting sustainability
Develop and implement operational processes, templates, and procedures that support project activities related to quality and safety initiatives
Ensure that project objectives and development are aligned with the hospital's strategic goals and quality priorities
Manage the gathering of data and preparation of key reports, including the Quality Assurance Performance Improvement (QAPI) report to the Board of Governors (Board Report), providing updates on project progress and outcomes
Manage the preparation and organization of hospital-wide quality meetings (HWQAPI), coordinating agendas, materials, and data relevant to quality and safety initiatives
Utilize project management methodologies to ensure that specific quality and safety projects are organized, planned, and executed efficiently
Develop contingency plans for addressing potential delays or obstacles to ensure project success
Work proactively to anticipate challenges and ensure smooth project delivery
Monitor the day-to-day activities of PI and quality projects, ensuring timely completion of deliverables and resolving issues as they arise
Maintain regular communication with stakeholders to keep them informed of project progress, milestones, and challenges
Work with departmental leaders, clinical and non-clinical teams, and other key stakeholders to define and refine project objectives, timelines, and resource allocation for each quality and safety project
Coordinate project tasks across various teams to ensure that each department is aligned with the project’s goals and timelines
Facilitate communication between internal teams and external partners to ensure projects are delivered smoothly and successfully
Focus on delivering targeted improvements within specific areas of quality and safety, such as clinical processes, patient safety, and workflow efficiencies
Develop and implement processes for tracking project progress, ensuring that milestones are met and deliverables are on schedule
Work with teams to identify bottlenecks and inefficiencies, proposing solutions for continuous improvement within the scope of each project
Provide support for training programs and educational sessions related to the implementation of quality and safety projects, ensuring that staff understand and can execute new processes
Assist in the rollout of new tools, systems, or protocols as part of quality improvement initiatives, ensuring proper adoption and integration across departments
Establish and track performance metrics for each project to ensure that objectives are being met
Regularly report on the status of projects to leadership, highlighting progress, risks, and potential delays
Contribute to the preparation and presentation of the QAPI Board Report and hospital-wide quality meetings, ensuring that performance data is accurately reported and presented
Works collaboratively with hospital departments to ensure quality and safety data are collected, validated, analyzed and shared
Oversee the budget administration for quality and safety projects, including the Quality Academy, ensuring that allocated funds are utilized appropriately and that spending aligns with project goals
Collaborate with hospital finance teams to create and track project budgets, ensuring accurate financial reporting and adherence to budget constraints
Monitor project expenditures, identify potential budget discrepancies, and work to resolve any issues that may impact project funding
Provide regular updates on the financial status of quality and safety projects to the CQO office, ensuring transparency and accountability in the use of hospital resources
Identify and resolve issues or risks that arise during the execution of quality and safety projects, minimizing disruptions to the hospital’s daily operations
Develop contingency plans for addressing potential delays or obstacles to ensure project success and adhering to deadlines
Ensure that quality and safety improvement projects comply with hospital policies, regulations, and accreditation standards
Support the preparation of documentation needed for regulatory and accreditation reviews, ensuring that projects are in alignment with required standards
Works collaboratively with regulatory to identify problem areas that need improvement, identify gaps and help with improvement projects related to compliance with The Joint Commission, Department of Health, and other regulatory agencies
Engage in ongoing process analysis to identify areas for improvement in the implementation of quality and safety projects
Make recommendations for future project modifications or improvements based on evaluation and feedback
Perform other tasks related to the execution and support of quality and safety improvement projects as directed by the CQO office or hospital leadership
Assists the Chief Quality Officer in coordination and submission of the quarterly report to the Board of Directors and the semi-annual and annual Governing Body Reports
Assists the Chief Quality Officer in the Hospital-wide Quality Assessment and Performance Improvement (HWQAPI) activities:1. Development and finalization of the yearly QAPI Plan 2. Completion of the Annual QAPI evaluation 3. Prepares the minutes, agenda and presentations for the HWQAPI Committee meeting. 4. Provides guidance and assistance to the clinical and non-clinical departments with their QAPI activities
Works closely with nursing quality to in improving compliance with quality indicators
Works with Department Heads/leaders and other stakeholders to improve compliance to standards and improve the quality of care provided
Develops and implements a comprehensive strategy to electronically organize, securely store, and share Quality and Safety Key indicators
Ongoing readiness for Quality Academy schedules and sessions. Serves as a liaison in the Quality Academy capacity building program
Performs other related duties as assigned by the Chief Quality Officer

Required

A Baccalaureate Degree in Public Administration, Public Health or Health Care Specialization; and, Five years or four years of increasingly responsible experience in hospital administration, with particular emphasis on development and evaluation of health care delivery services; or, A Masters Degree in Public Administration, Public Health or Health Care Specialization; and, Four years or three years of increasingly responsible experience in hospital administration, with particular emphasis on development and evaluation of health care delivery services
