Director of Operations - New York City

As the Director of Operations, you will play a crucial role in ensuring the efficient running of the business across multiple offices, focusing on finance operations, people operations, resourcing, and vendor management to support sustainable growth.

Responsibilities
Own Core Business Operations
Monthly invoicing: Own and continuously improve the agency’s monthly invoicing process across all clients. Partner with account leads, external accountants to ensure invoices are accurate, timely and aligned to scope. Track AR status and escalate risk early
Accounts payable (A/P): Process vendor invoices, manage payment schedules, and maintain accurate records so that our partners are paid on time and spend is tracked to budget
Credit card management: Oversee corporate credit card distribution, spend policies, limits and reconciliation
Expense reporting: Maintain and enforce clear expense guidelines. Review, approve and code monthly expense submissions against budget and client allocations
People Operations, Benefits & Compliance
PEO management: Serve as day‑to‑day point of contact with our PEO, ensuring accurate payroll processing, compliance, employee records, and timely resolution of any issues
401(k) management: Partner with our retirement provider to manage employee enrollment, company match/profit sharing contributions, compliance testing and required notices
Resourcing & Capacity Management
Resourcing management via ClickTime: Own our utilization and capacity tracking in ClickTime. Work with portfolio leads and US MD, UK MD and EVP of Client Services to ensure time sheets are accurate and on time, spot red flags early (over‑ or under‑servicing, burnout risk, unused capacity) and flag recommendations to leadership
Partner with US MD, UK MD and EVP of Client Services to forecast staffing needs by account, practice area and growth pipeline. Help balance workloads and inform hiring decisions
Office & Vendor Management
Office management: Oversee physical office needs (supplies, snacks, mail, equipment, visitors, safety, maintenance). Ensure we’re delivering a professional, welcoming, high‑functioning space for employees, clients and candidates
Vendor management: Own relationships with key operational vendors (IT, software, facilities, perks, training partners, etc.). Negotiate rates and renewals, track contract terms, and ensure service levels are met
Contract / addendum support: Support leadership on ensuring MSAs, SOWs, renewals and addenda with clients and vendors and shared, signed, and organized appropriately. Maintain central copies, ensure correct signatures/terms, and track key dates and obligations
Operational Excellence & Financial Health
Deliver 100% on‑time client invoicing each month; maintain clean AR aging and escalate any payment risk quickly
Maintain accurate, audit‑ready financial documentation across invoicing, expenses, credit cards and A/P
Work with leadership to keep total agency spend aligned to plan by tracking vendor costs, credit card spend, and non‑billable expenses — and surfacing variance before it becomes a problem
Support leadership in quarterly planning by providing accurate staffing/utilization views that inform hiring decisions and margin targets
As needed, support the managing partners with miscellaneous special projects
People, Experience & Retention

Qualification
Required
8+ years of operations, finance, people operations / HR, or business management experience in a marketing/PR/creative agency, consultancy or other professional services environment
Deep familiarity with the nuts and bolts of running an agency: invoicing, A/P, expense management, credit card programs, utilization tracking, and vendor contracts
Hands‑on experience working with a PEO and administering health, dental, vision, 401(k) and leave programs, ideally across multi‑state teams is a plus
Strong command of spreadsheets, time‑tracking / utilization tools (ClickTime or similar), and general business systems (HRIS, payroll, accounting, contract management)
Calm, detail‑obsessed and operationally minded — you build process, document it, communicate it, and hold people (kindly but firmly) accountable to it
High EQ and discretion. You're comfortable handling sensitive financial and personnel information and you know when to escalate
A service mindset. You like being the person who makes things work — for leadership, for clients, and for employees
You're comfortable interacting with senior clients including C-level stakeholders
Ambitious and driven, you enjoy working through complex challenges and problem solving
As a team member you're proficient in organizing your own workload against priority and importance for the good of the team, and helping other team members to do the same
