Responsibilities

Oversee daily office operations and ensure efficient functioning of administrative processes
Greet and welcome visitors, clients, and employees with a friendly and professional demeanor
Answer and route incoming calls, taking messages and delivering them promptly to the appropriate personnel
Assist with general administrative tasks, including photocopying, faxing, scanning, and filing documents
Manage incoming and outgoing mail and packages, distributing them to the appropriate recipients
Develop and implement office policies and procedures to optimize productivity and maintain a safe and organized work environment
Manage office supplies, equipment, and inventory, ensuring adequate stock levels are maintained
Assist in the preparation of reports, presentations, and other documentation as required
Maintain and update company databases, records, and filing systems in both physical and digital formats
Serve as a primary point of contact for internal and external inquiries, providing excellent customer service
Foster positive working relationships with team members, clients, and vendors, promoting a collaborative and supportive work environment
Facilitate effective communication channels within the company, ensuring information flow between different departments
Perform additional assignments and special projects as directed

Required

Minimum two plus years of experience in an administrative capacity
High school diploma/GED or equivalent
Valid Driver's License and ability to drive on behalf of company business
Excellent computer skills including knowledge and experience with Microsoft Office, Outlook, and Excel
Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow
Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
Above average oral and written communication skills, along with use of independent judgement and creativity applied to resolution of issues
Highly proactive and responsive to internal and external customers
Good problem-solving skills/decision-making skills
Strong attention to detail
Commitment to excellence and high standards
Ability to work with all levels of management
Good reasoning ability and decision-making is important
Able to understand and utilize management reports, memos, and other documents to conduct business
