Responsibilities
Process invoices, expense reports, and other payments in a timely and accurate manner using our financial software
Coordinate the procurement of office supplies and equipment, ensuring all purchases comply with established policies and budgetary guidelines
Oversee the office's physical assets, including managing the vehicle fleet, tracking equipment inventory, and coordinating maintenance or surplus disposal
Serve as a primary point of contact for external service vendors to resolve issues and ensure seamless office operations
Qualification
Required
Is exceptionally detail-oriented, ensuring accuracy in all financial and administrative records
Is a proactive and efficient problem-solver, capable of finding solutions with limited intervention
Demonstrates strong organizational skills, with the ability to work on multiple projects at the same time and proficiently prioritize tasks to meet deadlines
Is adept at communicating information and ideas effectively, clearly, and concisely, both verbally and in writing
Excels at interacting professionally with all levels of management and the public, showing sensitivity, tact, and professionalism in all dealings
Must successfully pass a criminal history check
Preferred
Direct experience with the State of Utah's specific systems and procedures
State payment systems such as CAPS and USSDS
State Procurement and Contract procedures
State Fleet services and procedures
The State Surplus system
