Responsibilities

Review and validate patient account details prior to processing refunds

Ensure all refund requests are complete and routed for clinical review when necessary

Ensure any waivers of liability are signed by the patient prior to processing refund

Communicate with office teams to request clarification and additional documentation as needed

Communicate with RCM collectors on the status of outstanding claims when a refund request amount includes estimated insurance payment

Collaborate with clinical and RCM leadership to resolve any discrepancies or delays

Accurately process and post approved refunds to patient accounts within the practice management system. Including ensuring refund adjustments are accurately allocated to appropriate providers

Ensure compliance with internal policies and payer guidelines related to refunds

Provide timely updates to offices and leadership regarding refund status and resolution timelines
