Document Support Specialist

The Document Support Specialist is responsible for creating, formatting, revising, and finalizing legal documents for the Structured Finance Department, ensuring accuracy, consistency, and adherence to firm standards.
Law Practice
Responsibilities
Create, edit, and format extremely lengthy legal documents, financial statements, flow charts, presentations, and letters using the latest versions of MS Office Suite (Word, Excel, PowerPoint)
Apply advanced formatting, styles, cross-references, Table of Contents, Table of Authorities, defined terms, and indexing as required
Convert documents between different software applications and formats; produce mail merge documents and fillable PDF forms
Troubleshoot and resolve document issues, including recovering/restoring corrupted files and resolving formatting problems
Provide document production support for closings and filings
Proofread and review documents for quality, accuracy, and correct formatting
Ensure confidentiality of sensitive and client-related information
Collaborate with team members including attorneys and supervisor to complete high-volume, time-sensitive assignments
Participate in ongoing training and professional development to maintain and enhance skills
Perform other duties as assigned
Qualification
Required
3+ years of experience as a document specialist in a law firm (strong preference), corporate, or professional services environment
Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); strong knowledge of Adobe Acrobat and legal-specific document tools
Familiarity with legal terminology, procedures, and document standards
Strong analytical, problem-solving, and organizational skills; ability to prioritize and manage multiple tasks in a high-pressure, deadline-driven environment
Excellent written and verbal communication skills; strong client-service orientation
Ability to handle sensitive and confidential information with discretion
Strong attention to detail and accuracy
Ability to work independently and collaboratively as part of a team
Willingness to work overtime or flexible schedules as required
Bachelor's degree or equivalent experience required
Preferred
Proofreading experience preferred
