Customer Service Specialist / Order Processing
Ultimate Staffing is seeking a Customer Service Specialist / Order Processing to manage sales orders and provide exceptional customer service. The role involves processing orders, maintaining sales records, and supporting various administrative tasks to ensure smooth operations.
Responsibilities
Accurately process customer sales orders and transfer orders for spinal implants and instruments daily
Coordinate inventory requests with Operations staff for timely delivery
Communicate customer preferences and resolve shipment issues, including expedited/same-day shipments
Perform administrative tasks: create shipping labels, update spreadsheets, enter data into ERP and CRM systems
Provide reports and maintain sales records
Support onboarding of new distributors and assist with RMA requests
Coordinate demo inventory shipments and returns
Assist with marketing, training, tradeshows, and product development activities
Respond promptly to inquiries via phone and email
Cross-trained for office administration tasks: managing calendars, office supplies, mail distribution, visitor reception, and facility inspections
Assist with accounts payable, bank deposits, and vendor credentialing
Qualification
Required
Bachelor's degree or equivalent experience
Minimum 3 years in customer service, preferably in medical device or healthcare-related fields
Familiarity with customer service concepts, practices, and procedures
Proficiency in MS Office (Excel, Word, Outlook), Adobe Acrobat
Strong communication and active listening skills
Excellent problem-solving, organizational, and multitasking abilities
Professional demeanor and interpersonal skills
Preferred
Experience with Salesforce and ERP systems
