Parts Administrator

Responsibilities

Delivers exceptional customer service while providing clerical and administrative support to the parts department
Assists customers with parts sales and backorder requirements
Supports backorder processing and expediting
Monitors and orders non-OEM parts from designated vendors as required
Manage and monitor inventory of parts and shop or office supplies
Responds to customer inquiries and addresses questions promptly
Provides prompt and accurate order status updates to both staff and customers
Issues purchase orders, codes invoices accurately, and updates cost/sell data to the DBS system
Reviews emailed and system-generated reports daily, taking appropriate action as necessary
Assists in accounts payable coding within the online system
Aids in reconciling freight accounts and charges from freight vendors
Administers cash transactions, maintains accurate records of all such activities, and submits transaction details to accounts receivable
Performs additional duties as assigned

Required

high school diploma or equivalent
Administrative, accounting, payroll, or clerical experience
Strong verbal and written communication abilities

Must be self-motivated and able to handle multiple tasks in a fast-paced setting
Proficiency in computer applications including Microsoft Word, Excel, and Outlook
Ability to professionally resolve issues
Requires strong organization and deadline management skills
Requires ability to work collaboratively within a team and adapt to changes
Availability for overtime work as necessary
