Intern – Administrative Support, GCEO Office

The Intern in the GCEO Office will provide comprehensive administrative support, assist with travel coordination, and engage in event planning, contributing to the smooth operation of the executive office.

Responsibilities

Provide day-to-day administrative assistance to the Admin Executive / Executive Assistant
Assist in scheduling meetings, preparing documents, and managing correspondence
Manage external guest arrangements, including registration, agenda coordination, refreshments, and Astro office tours (as required)
Support logistics and coordination for executive engagements and events
Assist with processing and submission of expense claims
Support facilities-related tasks and coordination
Maintain organised records and systems for claims summaries, annual leave, travel, and personal documentation
Prepare and serve refreshments for the GCEO and visiting guests
Provide support to consultants as needed
Collaborate closely with HR on onboarding and offboarding processes
Arrange Board of Director, Chairman and direct reports birthday gifts
Follow up and compiling of reports
Maintain confidentiality and professionalism in all interactions
Provide assistance with any other ad hoc tasks or responsibilities as required to support the smooth functioning of the GCEO office
Identify and analyse upcoming travel requirements
Liaise with the appointed travel agent (Mayflower) to obtain quotations and compare prices with direct bookings via airlines, hotels, Booking.com, or Agoda
Prepare a summary of options with recommendations based on cost and convenience
Raise eTRF (electronic Travel Request Form) and maintain an Excel tracker for all travel arrangements
Ensure all necessary travel documents and requirements are prepared in advance (e.g., ICAC clearance, K-ETA, visas)
Plan and organise internal engagement activities such as workshops, year-end dinners, and leadership offsite events
Collaborate closely with HR and the company engagement committee on initiatives including JKK, MVP recognition, Townhalls, sports events, festive celebrations, and other employee engagement programs
Support in following up with Business Units (BUs) to gather updates and ensure timely responses
Assist in compiling, organising, and analysing data
Handle ad hoc tasks and research assignments from the Chief of Staff

Required

Currently pursuing a diploma or degree in Business Administration, Management, Executive Secretary Studies, Communications or a related field
Strong organisational, communication skills, analytical ability, writing and a self-motivated team player who is independent and resourceful
Able to maintain confidentiality and professionalism in all interactions
Proficient in Microsoft Office (Word, Excel, PowerPoint)
Demonstrate strong numerical awareness and attention to detail by consistently comparing options and ensuring the most cost-effective choices are made to support savings and budget efficiency
Able to work independently, handle multiple tasks efficiently and work under timelines
Discreet, reliable, willingness and eager to learn
