Field Operations Coordinator
Refugia Design is an award-winning ecological landscape design-build and stewardship firm based in the Greater Philadelphia Area. The Field Operations Coordinator will manage project scheduling, strategic planning, and integration of landscape design-build projects while ensuring efficient execution and quality control.

Responsibilities
Coordinates the field operations of multiple teams, crew members, and subcontractors, in collaboration with team managers to ensure dynamic day-to-day efficiency and responsiveness to weather, supplies, staff and subcontractor availability
Integrates short-term and long-term priorities into scheduling, preplanning and ongoing subcontractor engagement and coordination between design and field teams
Troubleshoots daily operational issues with managers and team leads to ensure proactive solutions
Inspects progress, monitors quality control, and provides follow-up for subcontractors to ensure company standards are being met
Coordinates with designers to ensure that subcontractors understand the project’s scope and schedule, and that they complete work in a manner that company standards are met
Source, vet and maintain successful subcontractor relationships that foster skill-sharing, communication and mutual growth
Support the creation of short and long term land management plans and co-facilitate their hand-off for projects maintained by subs and/or outside of the company service area
On more complex projects, serve as client’s primary contact regarding subcontractor related scheduling, project progress, expediting punchlists, project completion and hand-off (as appropriate)
Forecast short and long-term priorities, manage costs and maximize revenue goals via operational efficiencies across all field departments (Build, Install, Stewardship)
Plan for off-season and optimize billable goals while managing non-billable needs
Reviews project summaries and sequencing ahead to ensure project readiness across all teams, project completion within budget and client and company expectations are met
Acts as liaison between design team, build, team leads and sub contractors to identify and communicate project components requiring additional specification to ensure project meets budgeting and timeline expectations
Assist with install team documentation and scheduling of change orders to ensure each project meets company goals for profitability, timeliness and client satisfaction
Assist with stewardship team documentation and scheduling of plant guarantee and add-ons to ensure each project meets company goals for profitability, timeliness and client satisfaction
Qualification
Required
Proven track record in field operations leadership and project management within landscape design-build with a fast project turnover
Minimum 6 years experience managing installation and/or land management crews in multiple modalities (build/hardscape, grading, planting, invasives management, stormwater management)
Well organized, flexible, highly collaborative multi-tasker and problem solver
Proficiency in Excel, Word, Google Workspace, QuickBooks Online
Leads by example with a positive attitude and strong work ethic that motivates and reinforces company culture and expectations
Hands-on leadership is a must; the ideal candidate will have a strong practical background in landscape design, build sequencing and a proficiency in land management best practices
Proven ability to track budgets, manage payments and oversee financial aspects of subcontractor work
Ability to read and communicate landscape plans, follow designer direction and troubleshoot
Outstanding customer relations, with excellent written and verbal communication both in office and on-site
Strong digital organization skills
Excellent attention to detail and follow-through on quality control and company standards
Preferred
Spanish speaking at a conversational level is preferred
Ability to identify invasive plants preferred
