Administrative Assistant Level II

Responsibilities
Coordinates and maintains calendars and appointments for assigned leaders
Coordinates various meetings, conference calls and events
Provides administrative assistance to assigned leaders with problem solving, project planning and execution of goals and objectives
Maintains departmental meeting minutes
Organizes out of town travel, hotel and meeting arrangements
Undertakes research and information gathering activities to provide leaders with data as requested
Completes word processing, PowerPoint, excel spreadsheets, database, expense reports and special assignments as needed
Attends and participates in organizationally and departmentally required meetings
Coordinates assigned cross-departmental projects or committees to ensure standard process compliance and effective flow of communication and information
Optimizes stakeholder satisfaction by ensuring accurate and timely communication
Serves as a liaison with other departments in the resolution of day-to-day administrative issues
Utilizes and updates appropriate databases
Answers, evaluates and routes incoming calls in a timely and professional manner to ensure both external and internal stakeholder satisfaction
May at times support the organization as front desk point of contact
Qualification
Required
High school diploma required
Superb grammar and written communication skills
Extensive software skills including Microsoft Office applications and the ability to learn new software
Outstanding communication and customer service skills (written and verbal)
Time management and Project management skill set
Preferred
2 Years' experience supporting management level preferred
Associate's/Bachelors degree in Business Administration or related field a plus
