Administrative Assistant for Summer Camp

Girl Scouts of North East Ohio is seeking a Camp Administrative Assistant to support the efficient operation of the camp office. The role involves managing communications, documentation, and logistical tasks while ensuring compliance with various standards and providing superior customer service.

Responsibilities

Sort and distribute camper mail and receive packages daily
Maintain refrigeration logs
Support daily photo uploads and incident report scanning
Prepare files, envelopes, trip books for upcoming needs
Conduct weekly vehicle safety inspections
Copy and print materials as required
Manage phone calls, emails and parent communication
Scan receipts for expense reporting
Serve as point of contact for trading post days
Format and print weekly rosters and unit materials
Maintain GSUSA, GSNEO and ACA standards always
Uphold customer service policy and strives to ensures customer receive superior service
Ensure the welfare, safety, and cleanliness of work space and self, following and enforcing all recommended health guidelines, including regular handwashing, cleaning, and sanitizing procedures
Perform other duties as assigned to promote the successful implementation of GSNEOs goals and objectives

Required

Minimum age 18
High school diploma or equivalent
Proficient in office software applications (e.g., Microsoft Office Suite) and able to learn additional software and databases
Excellent organizational skills with the ability to manage multiple tasks and prioritize
Demonstrated ability to successfully handle conflict resolution at all levels with a variety of people, including external customers
Ability to communicate written and spoken word
Exceptional customer service and interpersonal skills with a friendly, welcoming demeanor
Clear and effective verbal and written communication skills, with the ability to communicate tactfully, diplomatically, and authoritatively as needed
Detail-oriented, with the ability to maintain confidentiality and uphold privacy standards in handling sensitive information
Strong problem-solving skills and the ability to think quickly in fast-paced situations
Self-starter with the ability to work independently and as part of a team
Ability to work under the pressure of multiple priorities and deadlines
Basic knowledge of office equipment operation, including phones, copiers, and printers
Well-disciplined, able to meet deadlines and maintain a high level of productivity
Flexibility to meet schedule requirements, including a flexible work week, early hours, nights, and weekends as needed
Valid driver's license and access to an insured vehicle in working condition
Daily access to dependable transportation

Preferred

Youth-oriented program background a plus
Previous experience in a secretarial or administrative support role preferred
Knowledge of the Girl Scout program preferred
