Surgical Services Coordinator (Skincare and Aesthetic Services Coordinator)

Responsibilities

Directly support medical esthetician provider as well as APPs providing skincare and cosmetic injectables services
Oversee provider schedules including scheduling appointments, managing patient requests and questions, coordinating clinical schedules
Demonstrate knowledge of cosmetic and skin care products and services, aesthetic surgical and nonsurgical interventions
Possess strong communication skills, attention to detail, and a passion for helping individuals improve their appearance and confidence
Promote and sell cosmetic skincare products and services to patients
Provide detailed information to patients about aesthetic procedures and after-care
Discuss financial responsibilities with patients relating to cosmetic procedures and skincare products
Order skin care and other related inventory for the practice and assures all are current and properly stored; maintain aesthetic device records, maintenance service requirements, and training schedules
Submits purchase orders, submits invoices for payment, works closely with purchasing and accounts payable teams; monitors payment processing to vendors to ensure timely payment
Participate in program and service development efforts including website and social media promotional activities
Communicate and collaborate with the cosmetic team regarding patient care and service updates
Stay up to date and educated on skin care innovations and current practice guidelines
Other duties as assigned to support the cosmetic services team and division of plastic surgery
Independently owns, prioritizes and initiates implementation of assigned work functions
Participates in and supports select projects to be determined by leadership
Greets, screens, schedules and directs patients in a prompt, positive, pleasant, and helpful manner at all times even in the most adverse circumstances; acts as primary point of contact for assigned patients
Assists providers with patient relations and scheduling during outpatient office hours including traveling to clinic location when necessary
Provides coverage for practice team members during absences and/or staffing shortages
Answer and screen all phone calls; responds to patient inquires and/or problems in timely fashion or takes appropriate messages/delegate to appropriate staff
Maintain multiple calendars/schedules, office hours and meetings
Complete medical record request
Contributes in the design of practice operational changes by partnering with operations team
Trains and mentors new staff members; provides guidance on challenging scheduling issues prior to management escalation
Contributes to development of scheduling questionnaires and/or scheduling protocols
Takes on special assignments as required
Proficient in the use of all systems necessary for practice operations

Required

H.S. Diploma/GED
5+ years Medical office experience, or 5 years of customer service experience
Related clinical office experience required
