Responsibilities

Maintain or cause to be maintained accurate, timely and complete records of all official City documents
Assist and prepare documents for Board of Zoning Appeals and Planning Commission meetings
Prepare timely and accurate records and minutes of Board of Zoning Appeals and Planning Commission meetings
Answer phones for Engineering Department/Building Division and Service
Respond to all public records requests for the Engineering Department
Assist with the preparation of contract and bid packets
Greet customers and answers questions
General administrative duties
Additional duties as required by supervisor or department head
Provide backup support to Service and Building Departments
Serve as the primary point of contact for internal and external communications within the Engineering Department
Assist in the preparation and tracking of budgets, invoices, and purchase orders
Coordinate with other city departments, contractors, and consultants as needed
Maintain confidentiality and professionalism in handling sensitive information

Required

Clerical experience, including familiarity with various computer applications and programs such as Microsoft Office
Minimum of 2 years of administrative experience, preferably in a government or engineering and /or building related setting
Proficiency in all segments of Microsoft Office (word, excel, power point and publisher), clerical, computer, typing, filing and customer service skills
Ability to prioritize work with an emphasis on multitasking
Excellent clerical, computer, typing and customer service skills
Must possess a disposition suitable to dealing with people involved in stressful situations, exercise sound judgment in evaluating situations and in making decisions and have good organizational skills
Ability to prioritize tasks and manage time effectively
Strong attention to detail and accuracy
Ability to work independently and as part of a team
Ability to interpret and apply city policies and procedures

Preferred

Experience with budgeting, procurement, and records management preferred
Familiarity with engineering terminology and municipal operations is a plus
Familiarity with municipal software systems (e.g., permitting, GIS, Gov. Well, project tracking) is an asset
