The Accounts Payable (AP) Specialist will manage the company's payable processes, ensuring accurate and timely processing of vendor bills, expense reports, and payments while maintaining compliance and supporting accounting functions.

Responsibilities
Review, verify, and process vendor bills for accuracy, proper coding, and approval
Match bills to purchase orders and receiving documents (3-way/2-way match)
Prepare and execute weekly or scheduled payment runs (ACH, wire, check)
Resolve bill discrepancies, payment issues, and vendor queries promptly
Maintain accurate vendor records and ensure compliance with W-9/W-8 requirements
Reconcile vendor statements and respond to inquiries regarding billing and payments
Build positive relationships with suppliers and internal stakeholders
Own 1099’s
Maintain organized AP files and ensure proper documentation for audits
Assist with month-end closing by preparing AP aging reports and accruals
Code expenses to the correct general ledger accounts
Support the implementation and optimization of AP systems and processes
Managing AP Aging Reports
Ensure adherence to company policies and internal controls
Monitor transactions for potential errors, duplicates, or fraud
Assist with internal and external audits as needed
Work with primary vendors to plan forward-looking, full-year budgets and to review prior year fees and expenses for cost saving opportunities
Qualification
Required
Proven experience in Accounts Payable or similar accounting role
Strong understanding of basic accounting principles (GAAP knowledge is a plus)
Proficiency with ERP/accounting systems (e.g., NetSuite, Ramp, QuickBooks)
Strong Excel skills (VLOOKUP, pivot tables)
High attention to detail and accuracy
Excellent communication and problem-solving skills
Preferred
Associate's or bachelor's degree in Accounting, Finance, or related field
Experience in high-volume AP environments
Knowledge of 1099 processing
