Responsibilities

Accurately and efficiently format and finalize practice documents, adhering to the established guidelines and quality control for established practice department methodologies and standards
Develop an in-depth understanding of all applicable client types and corresponding assembly
Understand all practice departments workflow, deadlines and key initiatives
Prepare, edit and proofread correspondence, communications, proposals, presentations and other documents
Accept, pick up and deliver mail and packages daily and send mail and packages through interoffice mail, US mail or Fed Ex, including traveling to offsite USPS, FedEx, Banks and client locations as required
Assist with other administrative duties, including but not limited to other department support, miscellaneous scanning and filing, mass mail merges, reception relief, kitchen duty, etc
Scan and maintain documents on appropriate file servers and repositories. Learn and adhere to Firm’s records retention policies
Willing to work overtime and weekends during the weeks leading up to major deadlines, including travel to other offices as needed

Required

Extensive technical knowledge within and application of the Microsoft Office Suite and Adobe software
Strong oral, written and listening communication skills

Understand and adhere to organizational, practice department, and legal policies for quality, risk mitigation, confidentiality, and data privacy
Exceptional customer service, multitasking and organizational skills
Excellent time management skills, able to adhere to deadlines and prioritize accordingly
Strong attention to detail, a commitment to quality, and a proven ability to take the initiative and take responsibility for completing your work
Able to work independently, as part of a team and works well under pressure
Dependable, flexible, motivated and has a strong work ethic
Must be able to scan for long periods of time
Must be able to lift boxes up to 25lbs
