Distribution Center Administrative Assistant

Tenna is seeking a highly organized and detail-driven Distribution Center Administrative Assistant to support daily operations within their distribution center. The role involves processing sales orders, maintaining filing systems, and ensuring smooth communication with internal teams and external partners.

Responsibilities

Accurately and efficiently process completed orders daily within QuickBooks
Meticulously verify that sales orders and addendums match, ensuring all details are correct before shipment processing
Print addendums and QuickBooks sales orders for all pending shipments
Create and prepare packing slips in MS Word for specialized or custom shipments (e.g., Pilots, RCRs, etc.)
Maintain accurate and organized physical and digital filing systems for all sales, shipping, and financial documents
Work directly with the Finance department to process and reconcile vendor credits
Assist in documenting, updating, and improving Standard Operating Procedures (SOPs) for administrative and order-processing workflows
Act as a key liaison for the distribution center by communicating clearly and professionally with customers, internal teams (e.g., Finance), third-party carriers, and external vendors
Proactively anticipate administrative needs, ensuring smooth day-to-day operations of the distribution center
Identify discrepancies or issues in orders, documentation, or shipments and investigate and resolve them promptly
Use MS Excel and MS Word for order management, reporting, and documentation tasks
Liaise with third-party carriers (e.g., FedEx) to schedule pickups, prepare manifests, and resolve minor shipping or tracking discrepancies
Demonstrate professionalism and maintain composure in a fast-paced warehouse environment while adhering to all safety protocols
Complete additional administrative or operational projects as needed to support overall distribution center efficiency
Assist with warehouse duties when required, including assembly, QC, pick/pack operations, and inventory counts
Contribute to keeping the warehouse clean, organized, and compliant with safety and operational standards

Required

4+ years of experience supporting distribution center or warehouse operations, including administrative, logistics, and order-management responsibilities
1+ years of hands-on experience with QuickBooks, with a strong preference for candidates who have processed sales orders, vendor credits, and shipment documentation within the system
Experience coordinating logistics with major shipping carriers (e.g., FedEx), including scheduling pickups, resolving tracking issues, and preparing manifests and required shipping paperwork
Proficiency using mobile devices (smartphones, tablets) for warehouse or inventory management tasks
Advanced proficiency with order management tools, including MS Excel (sorting, filtering, basic formulas), MS Word, and QuickBooks
Proven ability to perform detailed, repetitive fine-motor administrative tasks with consistency, precision, and accuracy
Ability to lift up to 15 pounds and perform tasks requiring standing, walking, bending, and sitting for extended periods
Strong ability to work independently, demonstrating self-motivation, accountability, and consistent follow-through
Exceptional attention to detail and accuracy, especially in verifying sales orders and addendums, processing vendor credits, and maintaining organized digital and physical filing systems
Excellent verbal and written communication skills for effective interaction with customers, internal departments (e.g., Finance), carriers, and external vendors
Highly organized, proactive, and diligent, with the ability to anticipate administrative needs and support smooth distribution center operations
Strong problem-solving skills, with the ability to identify discrepancies, investigate issues, and resolve them promptly
Comfort and professionalism in a fast-paced warehouse environment, consistently adhering to safety protocols and contributing to a clean, organized workspace
Hardworking, dedicated, adaptable, and service-oriented, with a strong 'do what it takes' attitude to support operational success
High school diploma or equivalent required; additional relevant experience may be considered in place of formal education

Preferred

Experience with Salesforce is a plus, particularly for order tracking or customer communication
