Administrative Assistant (contract)

Responsibilities
Manage complex calendaring for executive leadership with extensive customer-facing commitments
Coordinate comprehensive travel arrangements and process business expenses accurately and efficiently
Schedule and coordinate meetings, events, and team activities across multiple stakeholders
Serve as primary point of contact for department inquiries and requests
Maintain team workspace coordination and facility operations
Process procurement of goods and services including computer equipment, office supplies, and reference materials
Manage vendor relationships and departmental financial operations
Handle personnel operations support as needed
Provide general office support and complete special projects as assigned
Respond to customer issues and inquiries with professionalism and urgency
Support team requests in a timely manner while adapting to changing priorities
Qualification
Required
Complex calendar management and scheduling coordination
Exceptional written and oral communication abilities, particularly for external customer interactions
Strong customer service orientation with a friendly and helpful demeanor
Travel coordination and expense management expertise
Budget tracking and financial operations support
Proficiency with procurement processes and vendor management
Ability to maintain composure and efficiency in fast-paced environments
Strong organizational skills with keen attention to detail
Problem-solving capabilities and proactive approach to challenges
Ability to work collaboratively within a team environment
Flexibility and adaptability to changing priorities and demands
Proven experience managing complex calendars for senior leadership
Background in customer service roles with external stakeholder interaction
Demonstrated experience coordinating travel arrangements and processing expenses
Experience supporting executive-level management in administrative capacity
