Mobile Vaccine Response Team Administrative Specialist III
NEOGOV is part of Public Health – Seattle & King County, which has an exciting opportunity available as a Mobile Vaccine Response Team Administrative Specialist III. In this role, you will support vaccination efforts to mitigate the risk of vaccine-preventable disease outbreaks in under-immunized communities by providing administrative and logistical support to the Mobile Vaccine Response Team.

Responsibilities
Providing administrative and logistical support to the Mobile Vaccine Response Team which coordinates vaccination clinics in a variety of settings throughout King County
Overseeing all aspects of vaccine inventory, storage, and handling
Medical record management and documentation
Conduct outreach and vaccination clinics at shelters, houses of worship, low-income senior housing sites, etc
Respond to referrals for mobile vaccination clinics from community-based organizations, homeless service providers, and other partners
Respond to inquiries about Mobile Vaccine Response Team vaccination clinics
Partner with Mobile Vaccine Response Team colleagues to proactively manage mobile team daily schedule and staffing
Update and create forms, other materials, and processes as needed for the Mobile Vaccine Response Team
Inventory clinical and office supplies on a routine basis and order as needed
In consultation with Healthcare, VPD Outbreak Response Team Manager, and Mobile Vaccine Response Team Nurses, manage vaccine inventory following Department of Health (DOH) and Federal Guidelines
Complete monthly accountability reporting per Washington DOH Adult Vaccine Program and Childhood Vaccine Program requirements
Enter vaccine administration data into Washington Immunization Information System (WAIIS)
Perform daily Health Information Management (HIM) operations at the vaccination clinic site
Perform daily quality assurance to ensure completeness of medical records and corresponding immunization documentation in WAIIS
Enter vaccine site and patient data into Mobile Vaccine Response Team REDCap project to enable data analysis and reporting
Other duties as assigned
Qualification
Required
Strong customer focus with a dedication to integrity, ethics, trust, and values
Skilled at organizing, prioritizing, multi-tasking and adapting to changes in workload demands and successfully meeting deadlines under strict time constraints without compromising accuracy
Demonstrated knowledge of medical terminology
Experience using WAIIS and troubleshooting issues
Experience creating effective working relationships with external program partners/agencies
Ability to demonstrate application of health records management and maintenance principles in both paper and electronic formats
Demonstrated ability to maintain confidentiality of protected health information at all times
Demonstrated knowledge and ability to comply with HIPAA, Federal and State regulatory principles and guidelines
Demonstrated knowledge of proper release of patient information including understanding of Federal and State laws and regulations that govern the release of information (ROI)
Demonstrated knowledge and ability to apply various records retention guidelines
Strong communication and interpersonal skills and the ability to work independently as well as part of a team in a collaborative, team-centered environment
Demonstrated flexibility and experience working in a variety of settings
Skilled in relating to and working with clients from various cultures, racial and social and economic status
Proficiency and ease in using Microsoft Office applications (SharePoint, Outlook, Word, Excel)
Experience building and maintaining SharePoint pages, libraries and lists
Demonstrated ability to move up to 50 pounds to transport boxes, vaccine equipment (e.g., coolers), and office and clinic supplies. (this may involve intermittent lifting, standing stooping, bending and reaching throughout the workday) – this will be tested
Preferred
A basic understanding of vaccine preventable diseases and immunizations
Understanding of and familiarity with homeless and social services, affordable housing in King County, and local related community resources
Lived or professional experience working with people experiencing homelessness and/or newly arrived immigrants seeking asylum
Intermediate skills with SharePoint Lists, MS Forms, and Power Automate
Bilingual in one of the most common non-English languages in King County (such as Spanish, Arabic, Somali, Hindi, Punjabi, Chinese, Vietnamese, Korean)
