Inside Sales Administrator

The Inside Sales Administrator will act as a liaison between customers and the company, managing orders, resolving customer inquiries, and supporting the sales team.

Responsibilities
Enter and manage customer orders in the CRM/ERP system
Ensure accuracy of pricing, product codes, and delivery dates
Track order status and communicate updates to customers
Assist with quotes, order placement, returns, credit/debit memos, and cancellations
Maintain knowledge of product line, pricing, delivery times, and drop-ship requirements
Resolve customer questions, concerns, and complaints via phone and email
Provide product information, availability, and lead times
Handle complaints or escalate issues to the appropriate department
Prepare and forward paperwork for returns and replacements
Contact customers regarding inquiries, claim investigations, or adjustments
Prepare quotes and proposals for customers
Assist sales representatives with documentation and follow-ups
Maintain and update customer records in CRM
Generate daily/weekly/monthly sales reports
Maintain records of orders, invoices, and correspondence
Track KPIs like conversion rates, order accuracy, and customer satisfaction
Record customer feedback in NetSuite and refer unresolved issues to designated departments
Liaise between sales, logistics, and finance teams
Work with Quality and Engineering on Notices of Nonconformance
Schedule deliveries and ensure timely fulfillment
Coordinate with inventory team for stock availability
Coordinate with multiple departments and trace order status through the shop floor
Ensure all transactions comply with company policies
Maintain confidentiality of customer and company data
Utilize ERP system for daily functions; experience with NetSuite preferred
Organize and prioritize workload effectively
File and scan documents appropriately
Recommend improvements in products, packaging, shipping, service, or billing methods
Perform light receptionist and administrative duties to assist other departments for smooth operations
Adhere to all safety policies and participate in meetings and trainings
Qualification
Required
High School Diploma or GED required
Minimum 2+ years of general office experience in a manufacturing environment
Proficiency in Microsoft Office; ability to learn new software
ERP experience required
Strong organizational skills, detail-oriented, and ability to manage multiple priorities
Excellent communication skills (written and verbal)
Customer service orientation, critical thinking, and problem-solving skills
Valid driver's license and insured vehicle
Ability to lift 50 lbs. unassisted, bend stretch, stand for extended periods of time, climb stairs, reach, twist, sit, walk, and/or run
Willingness to work a flexible schedule inclusive of overtime and weekends depending on business needs
Must be a legal resident of the United States with reliable transportation
Must be able to work in both shop and office environments
Specific vision abilities required by the job include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus
