Residential Lease Administrator

They are seeking a Residential Lease Administrator to manage move-ins, renewals, and move-outs for their multi-family portfolio, ensuring accuracy and compliance with leasing processes.

Responsibilities

Check Pending tasks daily to confirm upcoming move ins
Verify that all applications are complete (as per checklist), that residents have passed screening & that income has been calculated properly
Verify that all lease offers are in accordance with approved Market Rents & Concessions Memo
Generate Lease documents for signature
Verify Renters Insurance and all other required items for all new move in’s
Verify that all files are complete and accurate before they are executed and uploaded
Verify that all documents are scanned into RealPage
Double check all move in activity in RealPage including but not limited to: move-in dates, lease dates, recurring charges, one time & recurring concessions, app fees, amenity fees, security deposits, & first month prorates
Identify pending adjustments due to any move-in errors and make corrections
Keep Move in Audit spreadsheets up to date
Check Pending tasks daily to confirm upcoming renewals
Run Lease Expiration Detail report and generate renewal pricing monthly
Run reports monthly for prior periods to catch an generate pricing for short term leases
Verify and email all renewal offers
Follow up with sites weekly regarding following renewal policy and accountability
Update offers as necessary based upon negotiations
Generate Lease documents for signature
Verify that all renewal documents including updated income verification, if necessary, updated renters’ insurance, signed leases & addendums, etc. have been signed/scanned into RealPage
Double check all renewal entries in RealPage including but not limited to: lease dates, recurring charges, one time & recurring concessions, amenity renewal fees, updated security deposits, & rent prorates
Identify pending adjustments due to any renewal errors and make corrections
Keep Renewal Audit spreadsheets up to date
Mail out all FAS for former residents (prepare labels, stuff envelopes, post office runs)
Enter on the 'Former Resident Debt' spreadsheets for Legal
Update activity with tracking info in RealPage
Update activity with tracking info in RealPage
Follow up with site offices and keep 30-60-90 report updated
Assist Accounts Receivable team with ledger reconciliations pertaining to move in fees, renewal fees including short term premiums etc

Required

Proficient analytical skill, ability to investigate and problem solve
Proficient communication and interpersonal skills, including written, verbal and listening skills
Ability to use accounting software, word processing, spreadsheets, and related software applications
Detail orientated and ability to complete tasks accurately under the time pressure
Positive attitude and commitment
Minimum of 3 years relevant work experience
BA/BS degree or equivalent practical experience
