Outpatient Administrative Specialist/MOA - Pulmonary Clinic
Upstate Medical University is seeking an Outpatient Administrative Specialist to join their Pulmonary Clinic team. This role is primarily responsible for scheduling procedures, obtaining documentation, and providing administrative and clinical support to physicians and patients.

Responsibilities
Scheduling EBUS, Robotic, flexible, and rigid bronchoscopies as well as other procedures within the OR and Endoscopy unit
Obtaining proper documentation and authorizations for all procedures
Coordinating procedure plan with patients
Collecting data as needed for quality and operations for the Interventional Pulmonologist group
Providing outpatient procedure support to all physicians
Assisting as a medical assistant within the clinic
Rooming/screening patients, taking vitals, and reviewing medication lists for patients
Assisting clinician with exams and procedures under the direct supervision of the clinician
Maintaining and stocking exam rooms and cleaning instruments/rooms
Handling incoming and outgoing work order referrals ordered by the physician as well as chart prep
Answering phones, checking mail, checking in and checking out patients
Covering/filling in and rotating for other outpatient administrative specialists and clerical staff
Acting as a contact person for their physician and patients
Performing accurate message triage and computerized appointment scheduling
Preparing and reviewing the medical record
Developing and maintaining a system to record laboratory and x-ray requests
Ensuring that tests ordered for patients are reflective of the specifications of their insurance company contract
Relating information regarding needed supplies to appropriate person
Making sure that physician dictation is received, reviewed, and signed off on
Reviewing the next day’s patient schedule
Participating in appointment verification
Greet and direct patients to examination rooms and prepare patients for examination or treatment
Determining weight, height, blood pressure, temperature
Performing fingersticks, urine dips, and reviewing and transcribing medications
Completing Sleep and COPD flow worksheets in preparation of visit
Accurately relating the visit reason and recent medical problems on the progress note
Assisting physician with procedures with direct supervision
Scheduling tests, admissions, referrals, and consults ordered by the physician
Handling prescription renewals under the direction of the RN or clinician
Stocking examination rooms and organizing drug sample cabinets
Qualification
Required
Associates Degree or pertinent college level courses
three years of administrative/office management experience preferably within the medical field
Completion of an approved Medical Assistant or Medical Office Assistant program or one year experience directly related to the medical field
Current BLS certification through the American Heart Association or the American Red Cross
excellent interpersonal and organizational skills
