Responsibilities

Prepare and submit invoices as well as gathers necessary resources
Assists the Project Manager and coordinates the submission of project proposals, contracts, and project modifications; stays involved with each project until they are completed; and assures projects are closed correctly
Complete project set up in ERP system, requests and secures certificates of insurance, organize and maintain digital and physical project files
Discuss updates and liaises between clients, analysts, team leaders, and top management, communicate with external clients when necessary to resolve contractual issues
Other required administrative support (filing, organizing, project clean up, responding to emails)

Required

High school diploma or equivalent required, Associate's degree or additional relevant coursework preferred
0-2 years of administrative or office support experience (internship or volunteer experience a plus)
Working knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management tools
Strong organizational, time management, and problem-solving skills
Strong attention to detail and ability to handle confidential information with discretion
Effective verbal and written communication skills to interact with team members and stakeholders
Ability to work independently and collaboratively in a fast-paced environment
Ability to adapt to a changing work environment and foster and maintain good relationships at all levels

Preferred

Experience in project coordination, administrative support, or operations within a technical or service-based industry
Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams)
Excellent verbal and written communication skills
Ability to work both independently and collaboratively in a fast-paced environment
Familiarity with engineering, construction, or environmental services terminology and workflows is preferred
