Responsibilities

Provide day-to-day support for assigned banking professionals, including complex calendar management and scheduling
Coordinate all logistics for internal and external meetings, including room bookings, catering, and material preparation
Arranging comprehensive domestic and international travel, including flights, hotels, and ground transportation
Prepare and process expense reports in a timely manner, ensuring accuracy and compliance with firm policies
Partner with the designated peer Administrative Assistant in Houston to manage workflow, share knowledge, and ensure consistent coverage for the team
Collaborate with the broader administrative team across the firm to support department-wide initiatives and best practices
Serve as a liaison between the deal team and internal departments, including IT, Facilities, and HR
Maintain and update client data in Salesforce and other internal systems
Assist with the planning and execution of client events, team outings, and internal training sessions
Support special projects related to process improvement or team documentation
Provide backup support to other assistants during peak periods or absences

Required

0–2 years of experience in an administrative, office support, or customer-service role
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Strong ability to multitask, prioritize conflicting deadlines, and pay close attention to detail
Professional verbal and written communication skills appropriate for interacting with senior executives and clients
Demonstrated ability to work effectively as part of a team and build positive working relationships
High level of discretion, reliability, and the ability to maintain composure under pressure

Preferred

Post-secondary education preferred
Prior experience or interest in financial services or professional services is a plus
Familiarity with Salesforce and Concur is advantageous
