Research Center Assistant

Responsibilities
Receive and manage calendar and meeting requests, using communication and organizational skills to facilitate calendars, including with senior VT and other personnel (Deans and VPs)
Coordinate logistics for scheduled meetings, including CNR grant development sessions, and the FBRI wide Research in Progress Seminar series, which is managed by CNR
Coordinate logistics for CNR-sponsored graduate student/post-doc professional educational, professional development, and data review/discussion sessions
Maintain a high degree of confidentiality, flexibility, and collaboration across a matrixed organization
Coordinate and book domestic and international travel arrangements for members of the team
Maintain supply inventories and process financial reimbursements
Screen and manage correspondence, inquiries, and reports by routing to relevant staff members in an accurate and timely manner
Maintain working relationship with departments throughout the Institute and main campus, including Admin, Human Resources, Finance and Facilities in order to accomplish tasks
Perform other administrative duties as assigned
Qualification
Required
Experience providing administrative support to senior administrator/executive with calendaring, complex scheduling and supporting meetings
Excellent communication grammatical skills and care to precision for written and oral communications
Possesses a high level of organization and time management skills to manage time sensitive and competing priorities
Must have excellent interpersonal, organizational, and communication skills, and the ability to interact respectfully with all individuals
Proven ability to cultivate positive working relationships, build and maintain a team-based approach, and gain the trust and respect of all levels of internal and external constituencies
Demonstrated ability to work with sensitive and confidential matters and perform duties with a high level of professionalism, confidentiality, flexibility, discretion, judgment, diplomacy, and tact
Demonstrated knowledge and experience with standard business office equipment and commonly used software and tools, such as Microsoft Office, electronic mail, and the internet
Preferred
Prior work experience in a professional research environment
Familiarity with policy and procedures related to general financial administration (for the purpose of travel processes, purchasing and reimbursements)
Familiarity with budget justifications, data storage and public access submissions, and other documents related federal and private grants
Ability to generate and/or incorporate multi-faceted computer-based reports and other materials
Bachelor's degree, or specialized training and/or significant experience equivalent to a degree
