Special Projects Coordinator - Workforce & Healthcare Grant-Funded Initiatives
The South Bay Workforce Investment Board (SBWIB) is seeking a motivated and detail-oriented workforce-development professional to support two new healthcare grant-funded initiatives totaling $6 million over the next two years. This role involves coordinating workforce development functions, engaging with employers, and ensuring compliance with grant requirements to support job seekers in healthcare and other in-demand careers.

Responsibilities
Coordinate and monitor the implementation of assigned grant programs and workforce initiatives, including healthcare-sector projects
Track enrollment, training progress, case notes, and outcomes of program participants in CalJOBS or other systems of record
Lead program orientations, enrollment sessions, information sessions, and participant workshops
Assist in identifying participant needs and ensure access to training, wraparound services, and reasonable accommodations as appropriate
Ensure program compliance with contract terms, documentation requirements, performance measures, and data entry standards
Support cross-training across other Special Projects and workforce initiatives as assigned
Prepare progress and outcome reports for funders, internal leadership, and other stakeholders
Assist team with compiling and creating reports, newsletters, and related communications for internal and external audiences
Serve as a liaison between SBWIB, industry partners, employers, training providers, education systems, and participants across multiple sectors
Act as an account manager with employers across California and beyond, overseeing and implementing workforce development projects that support both employers and job seekers
Build and maintain strong relationships with employers across healthcare and other industry sectors; identify workforce needs; and coordinate employer participation in SBWIB programs and initiatives
Manage successful delivery of project milestones related to employer engagement, business services, and industry-specific partnerships
Participate in regular meetings with employers, partners, consortium members, and internal teams to provide updates and maintain strong collaborative relationships
Build and maintain partnerships with healthcare organizations, educational institutions, apprenticeship sponsors, and training providers
Coordinate and monitor assigned grant programs, ensuring timelines, outcomes, and deliverables are met
Prepare reports and documentation for funders, auditors, and executive leadership
Contribute to grant writing, fund development, and proposal development to expand healthcare and non-healthcare workforce initiatives
Assist with the development and expansion of apprenticeships, pre-apprenticeships, and career pathway programs aligned with industry needs
Assist with employer-driven training initiatives, sector strategies, and special workforce-related projects
Participate in or conduct meetings with team members, Boards, school districts, affiliates, committees, and other stakeholders
Make public presentations and conduct outreach to communicate the availability of SBWIB programs and services
Develop and support communications materials such as newsletters, updates, presentations, and participant-facing resources
Represent SBWIB at meetings, conferences, consortium gatherings, and community events
Contribute to workplace efficiencies, cross-program collaboration, and continuous program improvement
Perform other related duties as assigned
Qualification
Required
Bachelor's degree in public administration, workforce development, social sciences, or a related field
Minimum of three (3) years of experience in workforce development, WIOA-funded programs, AJCC operations, sector strategies, or grant-funded employment/training programs
Experience working with employers and diverse job seeker populations
Strong communication, organization, and relationship-building skills
Ability to coordinate multiple projects in a fast-paced environment with minimal supervision
Proficiency in Microsoft Office and virtual meeting platforms (Zoom/Teams)
Reliable transportation and valid CA driver's license
Must pass background and reference checks
Preferred
Experience administering or supporting healthcare workforce programs (e.g., CNA, CMA, LVN, RN, allied health pathways)
Familiarity with labor market trends, healthcare sector needs, or regional workforce initiatives
Experience designing or delivering workshops, orientations, or training events
Apprenticeship or pre-apprenticeship program experience
