Responsibilities

Serve as a direct point of contact for customers submitting reclaim and warranty requests, ensuring timely, accurate, and professional communication
Summarize and report on reclaim and warranty activity to Customer Service and Sales teams on a monthly basis
Collaborate with the Customer Service team to provide consistent updates and resolutions for customer inquiries related to reclaim and warranty
Assist with administrative tasks that support a seamless customer experience, utilizing advanced proficiency in Excel for tracking, reconciliation, and report creation
Build and maintain Excel-based dashboards and monthly reports using pivot tables, formulas, filters, and data validation tools to clearly communicate trends and activity
Manage the entire lifecycle of reclaim and warranty requests, from intake through resolution
Evaluate warranty submissions using internal tracking tools and reconcile recycled materials with tally sheets
Analyze data in Excel to identify discrepancies, prepare summaries, and support accurate customer proposals
Issue proposals to customers and vendors, and coordinate proper payments to customers and recyclers
Maintain accurate records of all transactions, communications, and documentation, ensuring data integrity through structured Excel logs
Schedule and manage pick-ups and deliveries for large-scale reclaim projects
Coordinate logistics with recycling partners and internal teams to ensure timely shipments and proper handling
Track and confirm Proof of Delivery (POD) for every shipment; maintain and update logs accordingly
Use Excel to track shipment statuses, create visibility reports, and provide shipment documentation summaries to stakeholders
Collaborate with the Freight team to ensure shipment visibility and resolve any delivery issues
Work closely with departments including Freight, Sales, Customer Service, and Shipping & Receiving to streamline reclaim workflows
Maintain proactive, ongoing communication with recyclers, customers, and internal stakeholders
Partner closely with the Director of Sustainability to align reclaim practices with the company’s broader environmental goals

Required

1-3 years of experience in customer service, logistics coordination, recycling, or a related field
Strong organizational and tracking skills using Excel spreadsheets and report creation, including pivot tables, formulas, data filters, and charts to build reports and dashboards
Clear, professional communication skills, both written and verbal
High attention to detail, especially when managing data and reconciling documentation
Comfortable using Microsoft Office, particularly Excel, to generate reconciliations, summaries, and performance reports for internal teams
Demonstrated ability to work collaboratively across departments and with external partners

Preferred

Experience with tracking apps, CRMs, or databases is a plus
