Executive Assistant and Office Manager for Human Resources and Culture

Responsibilities
Manage complex calendars, schedule high-level meetings, and coordinate travel arrangements
Prepare and review correspondence, reports, and presentations on behalf of the Vice President
Handle confidential and sensitive information with integrity and discretion
Serve as the primary point of contact and serve as liaison between the VP and internal/external stakeholders, including faculty, staff, students, and governing bodies
Coordinate communications across multiple departments and ensure timely responses to inquiries
Oversee day-to-day operations of the Vice President's office, ensuring efficiency and professionalism
Answering phone calls, screening visitors, coordinating internal and external resources, and cultivating relationships with vendors
Manage the Division of Human Resources daily office operations to include administrative tasks, schedule meetings, manage travel, and oversee office functions/events, ensuring smooth and efficient operations
Assist in planning, executing, and tracking projects and strategic initiatives
Conduct background research and compile briefing materials for meetings and presentations
Compiling data, maintaining records, and updating databases
Maintain confidential filing systems (electronic and paper) and ensure appropriate document retention
Organize high-level meetings, retreats, committee sessions, and College events
Prepare agendas, take and distribute meeting minutes, and track follow-up actions
Handling sensitive information with discretion and maintaining a professional demeanor
Working with other staff members to ensure efficient and effective office operations
Qualification
Required
Bachelor's degree or equivalent combination of education and experience
5–7 years of progressively responsible administrative experience, preferably in a higher education setting
Proficiency with Microsoft Office Suite, Google Workspace, and enterprise calendar/email systems
Excellent organizational, written, and verbal communication skills
Ability to prioritize tasks, manage multiple deadlines, and work independently
Preferred
Experience supporting senior executives in academia
Familiarity with College governance, academic protocols, and higher education terminology
Strong interpersonal skills and the ability to work effectively with diverse populations
